Viking Labs (“Viking Labs,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, and protect personal information when you visit vikinglabs.com, contact us, subscribe to our newsletter, use the Neo chat feature, or opt in to receive SMS or MMS messages from us (collectively, the “Services”).

This policy applies only to the Services described above. It does not apply to client systems we build or operate under a separate agreement, to Viking Labs products that display a separate privacy notice, or to third-party websites and services that we do not control.

Information We Collect

Information You Provide

  • Contact inquiries: your name, email address, subject, message, and any company, project, or other information you include.
  • Newsletter subscriptions: your email address, subscription status, and related preferences.
  • Neo chat: your email address, chat messages, and a session identifier. Your email is not added to the newsletter unless you separately subscribe.
  • SMS/MMS messaging: your mobile phone number, messaging preferences, the date, time, source, and scope of your consent, messages you send to us, and delivery, help, and opt-out records.
  • Other communications: information you provide when you email, call, or otherwise communicate with us.

Please do not send passwords, access credentials, government identification numbers, payment-card data, health information, or sensitive customer data through the Site’s forms or chat.

Information Collected Automatically

When you use the Site, we and our service providers may automatically receive:

  • Device and connection data: IP address, browser and device type, operating system, language, referring page, and approximate location derived from an IP address.
  • Usage data: pages viewed, links or calls to action used, timestamps, page paths and URLs, form or newsletter interaction events, and general navigation activity.
  • Security and diagnostic data: request logs, error data, spam signals, and information used to prevent abuse. For example, Neo chat uses an IP address and session identifier to apply a short-term rate limit.
  • Cookie and storage data: identifiers and preferences stored through cookies, pixels, tags, and browser storage as described below.

Our analytics events are designed to measure actions such as form starts or submissions and newsletter subscription status. We do not intentionally send the contents of form fields, chat messages, names, or email addresses to Google Analytics.

How We Use Information

  • Respond to inquiries, evaluate potential projects, and communicate about requested services.
  • Provide the newsletter and manage subscriptions and unsubscribe requests.
  • Operate Neo chat and provide automated answers about Viking Labs.
  • Send SMS or MMS messages you have agreed to receive, provide support, process HELP and STOP requests, and maintain records of messaging consent.
  • Operate, maintain, troubleshoot, secure, and prevent misuse of the Site.
  • Understand Site traffic and improve content, navigation, forms, and services.
  • Maintain business records, enforce our terms, and comply with legal obligations.
  • Protect the rights, safety, and property of Viking Labs, our visitors, and others.

If laws in your location require a legal basis for processing, we rely on one or more of the following as appropriate: taking steps at your request before entering a contract; performing a contract; our legitimate interests in operating, securing, improving, and communicating about our business; your consent, including for email marketing and non-essential technologies where required; and compliance with legal obligations.

SMS/MMS Privacy Statement

If you opt in to a Viking Labs text messaging program, we use your mobile phone number, consent record, and messaging activity only to operate that program, send the messages you requested, provide support, process opt-out requests, maintain program security, and comply with applicable law and carrier requirements.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. We do not sell, rent, or provide your mobile phone number or SMS/MMS opt-in or consent data to third parties or affiliates for their own marketing or promotional purposes.

All the categories described in this Privacy Policy exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties, excluding aggregators and providers of the Text Message services solely as necessary to deliver and support the messaging program.

We may disclose mobile information to messaging platform providers, aggregators, mobile network operators, and customer-support vendors only as needed to deliver and support the program, prevent fraud or misuse, or comply with law. Those parties may not use your mobile information for their own marketing or promotional purposes.

Message frequency varies by program and your interactions. Message and data rates may apply. Consent to receive marketing texts is not a condition of purchase. Reply STOP to opt out or HELP for help. We will honor opt-out requests promptly.

Cookies and Similar Technologies

The Site uses cookies, tags, pixels, and browser storage. These technologies may be session-based or remain for a period set by us or the provider.

  • Essential and security technologies support page delivery, forms, spam prevention, security, and network performance.
  • Analytics technologies from Google Analytics and Jetpack Stats help us measure visits and interactions. Google Analytics generally uses first-party cookies or similar identifiers. WordPress.com/Jetpack may use cookies or pixels and receive technical and usage data.
  • Functional session storage remembers a temporary Neo chat session, the source of a contact or newsletter visit, and whether an analytics event has already been counted. This storage normally ends with the browser session.
  • External resources such as content delivery networks, fonts, and images may cause your browser to send connection information to their providers when a page loads.

You can block or delete cookies and browser storage through your browser settings. Blocking some technologies may affect Site features. You can also use Google’s Google Analytics opt-out browser add-on. Where applicable law requires consent for a non-essential technology, we will treat your consent choices in accordance with that law.

How We Disclose Information

Subject to the SMS/MMS restrictions above, we may disclose personal information to the following categories of recipients:

  • Hosting and website providers. Automattic operates WordPress.com, Jetpack, the contact form, newsletter subscription processing, site statistics, content delivery, and anti-spam features used by the Site. See Automattic’s Privacy Notice for Visitors to Users’ Sites and Cookie Policy.
  • Analytics providers. Google Analytics, implemented through Site Kit and the Google tag, receives usage and device information to provide aggregate measurement. Learn more about how Google uses information from sites that use its services and read the Google Privacy Policy.
  • Messaging providers. If you opt in to SMS or MMS, our messaging platform provider, messaging aggregators, and mobile network operators may process your mobile number, consent and opt-out status, message content, and delivery data solely to deliver, secure, and support the messaging program.
  • Infrastructure and security providers. Cloudflare helps deliver and protect the Site and may process IP addresses, request data, and security signals. See the Cloudflare Privacy Policy.
  • External content providers. Some pages load images or other resources from providers such as Unsplash, which may receive browser and connection data. See the Unsplash Privacy Policy.
  • Professional advisers and business vendors. We may disclose information to advisers, contractors, and vendors that support our business and are subject to appropriate confidentiality or data-protection obligations.
  • Legal and safety recipients. We may disclose information when we reasonably believe it is necessary to comply with law, legal process, or a valid government request; enforce agreements; or protect rights, safety, and property.
  • Business transfers. Information may be disclosed in connection with a financing, merger, acquisition, restructuring, sale of assets, or similar transaction, subject to applicable law. Mobile opt-in data and consent remain subject to the SMS/MMS restrictions above.
  • With your direction. We may disclose information when you direct us to or provide consent.

We do not exchange personal information for money. We do not intentionally use or disclose Site visitor information for cross-context behavioral advertising, and we do not knowingly sell or share the personal information of anyone under 16.

Data Retention

We keep personal information only as long as reasonably necessary for the purposes described in this policy. The period depends on the nature of the information, our relationship with you, applicable legal or accounting requirements, security needs, and whether the information is needed to establish or defend legal claims.

  • Newsletter subscription information is generally kept while you are subscribed. We may keep a limited suppression record after you unsubscribe so we can honor the request.
  • Contact and business communications are kept while we evaluate or maintain the relationship and for a reasonable period afterward.
  • Neo chat rate-limit records are temporary. Chat request data may also appear in routine server and security logs for the period set by our hosting and security providers.
  • SMS/MMS consent and opt-out records are kept as long as needed to operate the program, demonstrate consent, honor opt-outs, resolve disputes, and meet legal, carrier, and messaging-provider requirements.
  • Analytics and technical data are kept according to the retention settings of the relevant service and our operational needs.

We may retain information longer when required by law or when reasonably necessary for security, fraud prevention, dispute resolution, or legal claims. We may retain aggregated or de-identified information that cannot reasonably identify you.

Your Choices and Privacy Rights

  • Newsletter: unsubscribe through the link in any newsletter email.
  • SMS/MMS: reply STOP to opt out of a messaging program or HELP for assistance. Opting out of texts does not unsubscribe you from email or another separately authorized channel.
  • Cookies and analytics: use your browser controls or the Google Analytics opt-out add-on described above.
  • Communications: tell us if you no longer want non-transactional communications. We may still send responses you request and administrative or legal notices.
  • Privacy requests: ask to access, correct, or delete personal information you provided by emailing [email protected].

Depending on where you live and whether a particular law applies to Viking Labs, you may also have rights to receive a portable copy of information, restrict or object to processing, withdraw consent, opt out of certain disclosures or targeted advertising, limit certain uses of sensitive personal information, or appeal a decision about a privacy request. We will not discriminate against you for exercising an applicable privacy right.

To protect personal information, we may need to verify your identity and request before acting. An authorized agent may submit a request where permitted by law, but we may require proof of authorization and identity verification. We will respond within the period required by applicable law. If we deny an appealable request, you may appeal by replying to our decision.

California Privacy Disclosures

California residents may receive additional rights when the California Consumer Privacy Act applies to a business. The categories of personal information the Services collect are described above and may include identifiers, including a mobile phone number; internet or other electronic network activity; approximate geolocation; professional or business information included in an inquiry; messaging consent and delivery records; and the contents of communications you send to us. We collect these categories from you, your browser or device, and the service providers described in this policy. We use and disclose them for the business purposes and to the recipient categories described above, subject to the SMS/MMS restrictions in this policy.

We do not intentionally collect sensitive personal information through the Site and do not use sensitive personal information to infer characteristics about visitors. We do not offer financial incentives in exchange for personal information.

California Do Not Track Disclosure

Some browsers offer a “Do Not Track” setting. Because there is no uniform industry standard for interpreting that signal, the Site does not currently change its practices in response to a browser’s Do Not Track header. Third-party analytics and platform providers, including Google and Automattic, may collect technical and usage information over time and across websites where their services are used. The Site does not intentionally deploy third-party advertising pixels for interest-based advertising. As described above, we do not exchange personal information for money or intentionally share it for cross-context behavioral advertising.

EEA, United Kingdom, and Similar Jurisdictions

If data-protection law in the European Economic Area, United Kingdom, or a similar jurisdiction applies, Viking Labs is the controller of the personal information covered by this policy. You may have rights to access, correct, erase, restrict, object to processing, and receive a portable copy of personal information, and to withdraw consent without affecting processing that occurred before withdrawal.

Personal information may be processed in the United States and other countries where our providers operate. Those countries may have different data-protection laws. Where required, we and our providers use recognized safeguards for international transfers. You may also lodge a complaint with the data-protection authority where you live or work, although we welcome the opportunity to address your concern first.

Automated Features

Neo provides automated responses to general questions about Viking Labs. Do not rely on Neo for legal, financial, medical, or other high-stakes advice. We do not use Site information to make decisions based solely on automated processing that produce legal or similarly significant effects about you.

Children’s Privacy

The Site is intended for business users and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided personal information through the Site, contact us so we can review and delete it as appropriate.

Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. No internet transmission or storage system can be guaranteed completely secure. Please use appropriate care when deciding what to send through a form, email, or chat.

Changes to This Policy

We may update this policy as our practices, providers, or legal obligations change. We will post the revised policy on this page and update the date above. If a change materially affects how we handle information already collected, we will provide any additional notice required by law.
